At Webfleet, we’re looking for an Office & Sales Administrator who will keep both our workplace and sales operations running smoothly.

This dynamic role combines Office Management (30%), ensuring a well-organized and welcoming environment, with Sales Support (70%), where you’ll help drive the efficiency of our commercial team through strong administrative support.

If you’re proactive, detail-oriented, and enjoy balancing day-to-day operations with supporting business growth, this role could be a great fit.

You’ll play a key role in sales coordination, order processing, data accuracy, and reporting, while making sure the office runs seamlessly.

Your day-to-day:

Office Management (20%)

  • Manage daily office operations, including supplies, facilities coordination, and vendor communication;

  • Serve as the on-site point of contact for building management, maintenance, and service providers;

  • Coordinate office logistics such as meeting room setup, mail handling, equipment upkeep, and general workspace organization;

  • Support onboarding activities by preparing office materials and coordinating workspace setup for new employees;

  • Assist with planning small-scale internal events and team activities.

Sales Support Administration (80%)

  • Assist the Sales team with order processing, purchase requests, and follow-up with cross-functional teams as needed;

  • Coordinate customer communications, including scheduling meetings, managing calendars, and supporting follow-up tasks;

  • Support the end-to-end lifecycle of sales operations activities, including contract tracking, documentation management, and workflow routing;

  • Collaborate closely with Finance, Operations, and Customer Support to help drive smooth internal processes and ensure timely execution of sales-related tasks;

  • Act as the administrative backbone of the Sales team, helping remove operational blockers so the team can focus on customer engagement.

Who are you?

  • 3+ years of experience in administrative, office management, or sales support roles (or similar);

  • Prior experience working with CRM systems (Salesforce experience is a strong plus);

  • Strong organizational and multitasking skills with high attention to detail;

  • Excellent written and verbal communication skills in English;

  • Comfortable working with sales documents, basic reporting, and administrative workflows;

  • Proficiency in Microsoft Office (Excel, PowerPoint, Outlook) and/or other productivity tools;

  • Ability to prioritize and manage multiple tasks in a fast-paced environment and adaptable to changing priorities;

  • Proactive, service-oriented mindset, reliable, professional, and customer-oriented with a positive attitude and a strong team player;

  • Comfortable working both independently and collaboratively;

  • Strong problem-solving skills and willingness to quickly learn new systems and processes;

  • Resourceful, with the ability to take initiative and identify operational or administrative needs;

  • Enjoys collaborating with cross-functional teams to drive impactful change.
