Supply Chain Administrator (English speaker)

At Webfleet Solutions, we are looking for a Supply Chain Administrator in Warsaw who will act as a key liaison between operations, purchasing, logistics, and customer service to ensure product availability, minimize disruptions, and uphold service-level commitments. In this role a solid understanding of ERP systems, data analysis, and supply chain best practices is essential, along with excellent communication and problem-solving skills.

Here’s a little taste of your challenge:

  • Manage end-to-end logistics operations (inbound, outbound, and reverse logistics).

  • Oversee inventory control, including remote stock (partners, customers, technical teams), ensuring accuracy through regular cycle counts and SAP transactions.

  • Participate in conducting inventory counts at least once per quarter.

  • Coordinate with international and domestic suppliers, freight forwarders, and customs brokers to ensure timely and cost-effective deliveries and inventory availability.

  • Monitor and optimize transportation costs and logistics budgets.

  • Support sales operations by managing order processing, delivery scheduling, and customer claims.

  • Monitor and resolve order discrepancies, or product availability issues.

  • Ensure compliance with local tax, customs, and import/export regulations in each country.

  • Collaborate with cross-functional teams (Logistics, Sales, Finance, Customer Support, and Technical Services) to align logistics and sales processes.

  • Support supply chain audits, system updated, and projects within the supply chain operations.

  • Maintain and improve operational procedures and documentation, ensuring adherence to internal controls and audit requirements.

  • Analyse logistics and sales data to generate reports and insights for continuous improvement.

Who are you?

There is no set route to become a Supply Chain Administrator, but to be successful in this role this is the kind of profile we have in mind:

  • At least 2 years of experience in a similar role. 

  • You speak fluent English and Spanish.

  • Understanding of supply chain processes and the ability to improve them when required. 

  • Confident and have experience working in a B2B environment. 

  • Proficiency in Microsoft Excel; experience with PowerBI and SAP (Nice to have)

  • Stress-resistant under pressure; 

  • Ability to manage multiple tasks and prioritize effectively.

  • You are solution oriented and accurate person with a positive attitude.

  • Strong analytical skills and attention to detail.

  • Excellent communication and teamwork skills in an international and dynamic environment.
